Privacy Notice
Your privacy, handled with care.
The Therapy Room is the counselling and psychotherapy practice of Ranjan Nardani. This notice explains what personal information is collected through this website and in the course of therapy, why, how it is kept safe, and the rights you have over it.
Who is responsible for your data
Ranjan Nardani, trading as The Therapy Room, is the data controller and is registered with the Information Commissioner’s Office (ICO), registration number CSN0431148. You can contact the practice about anything in this notice at info@thetherapyroomltd.com or on 07818 391310.
What is collected
- When you get in touch: if you call or email, your name, contact details and whatever you choose to share.
- If we work together: contact details, GP details where you choose to share them, appointment and payment records, and brief session notes.
- When you browse: the website does not use analytics, advertising or tracking cookies. Your browser stores one small setting (whether the opening animation has played) for the current visit only. Like all websites, the hosting provider processes technical data such as your IP address to deliver pages securely and protect the site from abuse.
What you share in a message may include information about your health or wellbeing, which UK GDPR treats as special category data. Please share only what you are comfortable with — a few words are plenty to begin.
Why it is used, and the lawful basis
- Booking and arranging your free 20-minute chat, and replying to enquiries — to take steps at your request before entering into an agreement (Article 6(1)(b) UK GDPR), with any health information you choose to share processed with your explicit consent (Article 9(2)(a)). You can withdraw consent at any time.
- Providing therapy — to take steps at your request and to fulfil our agreement (Article 6(1)(b)), with health information processed for the provision of health care under Article 9(2)(h) and professional confidentiality.
- Keeping records required by law, insurers and professional bodies — legal obligation and legitimate interests (Articles 6(1)(c) and 6(1)(f)).
Your information is never sold, never used for marketing, and never shared with anyone except as described here.
Confidentiality
What you share in therapy is confidential. There are two exceptions: if there is a belief that you are at risk of serious harm to yourself or others, or if disclosure is required by law. Wherever possible you would be told first. In line with British Association for Counselling and Psychotherapy (BACP) guidelines, the practice works with a clinical supervisor, without sharing your name.
Who helps process your data
- Cloudflare hosts this website.
- Microsoft 365 — enquiries arrive in the practice’s private mailbox.
- Microsoft Teams is used for online sessions.
- Stripe or your bank processes payments if you pay by card or transfer.
- OpenStreetMap provides the map on the home page; your browser contacts openstreetmap.org to display it.
Where any of these providers process data outside the UK, they do so under the safeguards required by UK data protection law, such as the UK International Data Transfer Addendum or adequacy regulations.
How long it is kept
- Enquiries that do not lead to working together are deleted within 6 months.
- Client records are kept securely for 7 years after therapy ends, in line with professional and insurance guidance, then securely destroyed.
Your rights
You have the right to access the personal data held about you, to have it corrected, to ask for it to be deleted, to restrict or object to its use, to data portability, and to withdraw consent at any time. To make a request, email info@thetherapyroomltd.com. There is no charge and you will receive a response within one month.
Complaints
